partage des documents à Marcoule

How CEA Marcoule operates and shares documents with an EDM software?

The ADM installation (Equipment Decontamination Workshop) of CEA Marcoule chose to equip ANT’inno’s ANT’box electronic document management platform (EDM software).

An EDM software should let you share documents easily and securly even in a critical environment

This is to make available to stakeholders the information they need for their daily work while respecting the rights of access to documents.

For example, the ANT’box EDM software allows the ADM to track both the evolution of project information and the exchanges concerning the operation of the facility.

Two challenges: meeting robustness requirements and quickly retrieving documents

Given the requirements for the operation of a nuclear facility, it is essential for monitoring the installation that the robustness and availability of access to documentation is guaranteed.

The other crucial issue of electronic document management is to be able to quickly find all documents related to a theme or event. The last audit performed on the ADM demonstrated the effectiveness of ANT’box EDM software on this point.

``ANT'box is our central point of research and a daily working tool``

Installation manager

It is the combination of qualification mechanisms (faceted classification) and full-text and cross-language linguistic research that ensures the effectiveness of research. Each user easily finds the information he needs according to the search method he chooses: natural language question, combined or not with filtering on the facets of classification, navigation in the content, link graph, dashboard etc.

Due to its specific connectors, ANT’box search performance is also used with other document repositories (Ennov and Meridian). Thus “ANT’box is our central research point and a daily working tool” as explained by the head of the Installation.

In addition to document sharing, contextualization tools allow a better understanding of information

ANT’box EDM software makes it possible to link the information between them, whatever their nature: events, expertise note, reference documents, working documents, etc. These links contextualize the information, and the graphic representation of these links makes it possible to navigate in this set of information, following the chronology or the “simple” association.

In addition, dynamic tables that cross information classified on two dimensions make it possible to have a global vision of the content, focused on the axes useful to the exploitation such as the type of crossed information with the suppliers concerned, or the status of the documents of the different projects.

Operated on a daily basis, and often even in team meetings, the electronic document management solution ANT’box constantly ensures the harmonization of the level of information of all the actors of the installation. In addition, it helps to build the memory and information heritage of the latter.

Exploit and enhance your database thanks to semantics!

In your organizations, most projects lead to the creation of multiple documents, from the the meetings minutes to the specification of technologies or innovative approaches to solve a given problem. However, these documents are often stored, at best, in collaborative spaces, or, at worst, on file servers where they are more or less forgotten or lost for future projects.

Stop starting from scratch  your project

The cognitive memory of organizations is thus under exploited. Under-exploitation leads consulting firms or consulting companies to start from scratch to meet a client’s specifications without having the means to exploit work already done beforehand for a previous project, at another client’s, by another team.

Find document without prior knowledge of the content

Beyond the energy deployed in waste to “re-invent the wheel”, the problem is simply the time-to-market and the economic efficiency of your organization.
The implementation of semantic technologies can bring a relevant approach to this problem. A semantic search engine will allow you to analyze and index the contents of your documents in full.

Thus, you can do research in natural language – forget key words and other manual indexing – without prior knowledge of the content of the documents or the precise formulation of the information sought.

Advanced grammatical analysis with artificial intelligence techniques for the better

An advanced semantic search engine will allow you, for example, for a question of the type “Milk production in China”, to find both documents containing “Chinese milk production” (reformulation of the question) that documents containing ” Milk production in China “(cross-linguistic).

Beyond this relevance of research, advanced grammatical analysis associated with artificial intelligence techniques will provide useful complements such as automatic extraction of information cited in documents: people, places, companies etc.

A preliminary query of your knowledge base at each project launch or problem solving can save you valuable time and significantly improve your performance.

Collaborative Document Management: be user-centric!

The digital revolution is under way and is transforming most organizations. This naturally impacts the working environment of your employees. Traditional approaches from DMS (Document Management Systems) are no longer sufficient to address this issue. What is the use of the traditional Acquisition – Treatment – Access – Diffusion framework when employees exchange information and documents by e-mail or even by instant messaging?

Match modern usages

Why spend whole days designing and evolving a classification map when the user is more and more accustomed to typing a search engine query to access content on the Internet (remember Yahoo’s and Google ways to access to content: the first has now almost disappeared).

Personal or professional social networks are now common tools for your employees and the action of sharing and commenting a document within a community (project team, department, etc.), subscribe to a publication feed, follow this or that person, are more and more natural.

However, it can be important for organization to capitalize on these more or less informal exchanges and to keep control over the reference materials.

Meet the needs of employees

The phenomenon of consumerization of IT makes it clear : nature hates emptiness! This means that if the tools made available by organizations do not meet the needs of employees, they will find solutions, sometimes outside the official channels: consider the uncontrolled use of file sharing services.

Make exchanges and collaborative work easier

Become user-centric is making Document Management more efficient for organizations and making it more value-creating.

Therefore, make it closer to the needs of users facilitates exchanges and collaborative work but also makes it easier to find documents or information they need when and where they need them.

A basic set of features could be the following:

  • notifications and alerts that will prevent e-mail circulation
  • instant messaging
  • the ability to search easily in the content, without specific competencies or special knowledge,
  • to be sure that the version of the document is the last one
  • Simple, secure and flexible (scalable) management of access rights
  • co-authoring systems that make it for many people to work on the same document
  • the possibility of commenting / annotating
  • the ability to map (capitalize) a process of collective and collaborative thinking
  • the ability to share a calendar
  • the ability to subscribe / follow content
  • directly accessing a shared area, dedicated to its main activity (ie a specific project)

Focus on simple, intuitive and flexible approach

Nevertheless, be careful. Implementing too much complex solutions that will try to fulfil all the expressed needs could finally satisfy none because of that complexity.

Focus instead on a simple, intuitive and flexible approach that makes it easier to use the tool and allow users to create and develop their own use cases, while enabling the organization to better capitalize on the content and knowledge produced.

Put linguistic intelligence in your document management!

Artificial intelligence, appeared in the 1950s, and has been enriched in the 1990s (expert systems, genetic algorithms, neuronal computing, deep learning, etc.) before being able to find the necessary computing power to be implemented.

Artificial intelligence enhances information management

Many fields now incorporate artificial intelligence (A.I) and linguistic analysis is one of its flagship applications. Indeed, applied to documents it allows, among others, the extraction of information in unstructured texts, analysis of large volumes of data or even the interpretation of questions.

ANT’inno’s ANT’box has taken this dimension into account since its birth. Our partnership with the CEA and in particular the LVIC Laboratory which has been working on these subjects since the end of the 1970s, allows us to benefit from the most advanced technologies.

Reduce efforts to classify and qualify content

The linguistic intelligence integrated in ANT’box makes it possible to find very easily any information, and reduces the needs of structuring the content. Thus, efforts to classify and qualify information by users are considerably lightened.

For example, ANT’box automatically extracts useful information (names of people, places, companies, etc.), groups documents that “resemble” each other, organizes the documents that answer a question in order to guide the user to the most relevant documents.

Linguistic intelligence optimizes productivity

By reducing the effort to qualify information and improving the quality and relevance of information retrieval, ANT’box optimizes the productivity of your employees.

The return on investment within 3 to 6 months following the implemntation of ANT’box. Our project methodology makes it possible to avoid the drafting of complex specifications while remaining adapted to the context and the specific needs of the client. This avoids complicated settings or lengthy organizational considerations, and therefore the long and costly projects that mobilize your teams.
